Follow the instructions below to download Sage Timberline Office 9.4.1 year-end software update. Refer to the 9.4.1 Release Notes to determine if this year-end software update applies to you.
Download Instructions
Download the software update by following the instructions below. If you are operating in a client/server environment, you must install the update on the server and any workstation where Sage Timberline Office is installed. If you are operating with DocuVault installed on a separate server, you should also install the software update on the DocuVault server.
Download the Software Update:
- Click the link below to download the self-extracting file that contains the software update:

- When the File Download window appears, click [Save].
- In the Save As window, select a temporary location on the server to save the file 941Update10.exe, and then click [Save].
Note: This location must be available to all workstations where Sage Timberline Office is installed. For example, create a folder named Update, if it does not yet exist, under X:\Timberline Office\Accounting\WinInst and then save the file to that location. If you installed to a different location, select the appropriate path.
- In the Download Complete window, click [Close].
- If the DocuVault application is installed on a separate server, repeat steps 1-4 to download and install the software update on the DocuVault server.
Update the Server:
Note: If you are installing the 9.4.1 CD, install the 9.4.1 CD to your server first then apply the 9.4.1 software update by following the instructions in this section.
- At the server or stand-alone computer, log on with full administrative rights.
Note: Full administrative rights are defined as write access to the Windows registry and all folders on the computer (including rights to the root of all hard drives). If you are unsure whether you have full administrative rights, ask your network administrator for assistance. Alternately, you can ask your network administrator to log on with the network administrator ID before you start the installation.
- Close all Sage Timberline Office applications at the server and on all workstations.
- Browse to the location where you saved the file in step 3 of the "Download the Software Update" section.
- Double-click 941Update10.exe only once.
- If a security warning appears, click [Run].
- The Ready to install 9.4.1 Update 10 window appears. Click [OK].
Note: The update may take several minutes. Double-click 941Update10.exe only once. You will receive a message when the download is complete.
- The message This update has been installed successfully appears. Click [OK].
- If the DocuVault application is installed on a separate server, repeat steps 1-7 to update the DocuVault server.
Upgrade Data:
Note: For optimal performance, Sage recommends upgrading your data from the server. The Upgrade Files process should be performed only after the update has already been applied at the server. If you prefer to upgrade your data from a workstation instead, you must apply the update at both the server and the workstation before starting the Upgrade Files process.
- In TS-Main, select Tools > Upgrade Files.
- At the Do you have a current backup of your data folders window, click [Yes].
- Select to upgrade the current data folder or all data folders.
- If you select Current data folder, you upgrade files in the data folder in which you currently work.
- If you select All data folders, you upgrade files in all data folders that display in the Open Data Folder window. This may include data folders on other drives. With this option, the upgrade process can take a long time if you have many data folders.
- From the Files list, select all files. Do not select the Force file upgrade check box. This ensures only files requiring an upgrade are upgraded.
- Click [Start]. The Print File Selection window opens.
- In the File name box, type a name for the upgrade report file and click [Save]. The upgrade process begins in the background.
- Review the report when the process is complete.
Update Each Workstation:
Update each workstation where you installed these Sage Timberline Office applications.
- Log on to the workstation with full administrative rights.
- Close all Sage Timberline Office applications on the workstation.
- Browse to the location where you saved the file in step 3 of the "Download the Software Update" section.
- Double-click 941Update10.exe only once.
- If a security warning appears, click [Run].
- The Ready to install 9.4.1 Update 10 window appears. Click [OK].
Note: The update may take several minutes. Double-click 941Update10.exe only once. You will receive a message when the download is complete.
- The message This update has been installed successfully appears. Click [OK].
- Repeat steps 1 though 7 at each workstation where you installed these Sage Timberline Office applications.
Important: If you run the workstation install on additional workstations later, you must also install the update by following the instructions above.

Update 10
General
Printing 1099s and 1098s to a print file
An issue in Accounts Payable and Property Management caused 1099s and 1098s to print incorrectly when printing to a print file. This issue has been resolved.

General
Continuous-Feed Forms
Support of continuous-feed tax forms (W-2, 1098, 1099) for year-end processing has been removed.
Payroll
Fixes
Address Placement on Direct Deposit Forms
The employee address on extended-format direct deposit forms was printing one or more lines above the corresponding address on employee checks stubs. The issue has been corrected so that the employee address prints in the same position for both direct deposit forms and check stubs.
Blank Address Lines on Printed Checks
A blank space was left on printed checks if the employee Address 1 line was not filled in. The blank space no longer appears on the check if Address 1 is not filled in.
Canceling the Data File Selection Process Causes Payroll to Quit
When generating quarterly magnetic media for the state of Maine, canceling the data file selection process caused Payroll to quit. This issue has been resolved.
Changing Item Rates in the Union Class Setup Causes Payroll to Quit
Attempting to change one or more item rates in the Union Class Setup window caused Payroll to quit. This issue has been resolved.
Error Message Deleting or Voiding Multiple Checks from SM
An error message was generated if you attempted to delete or void more than one check originating from Service Management. This issue has been resolved.
Maine Quarterly Magnetic Media
Generating quarterly magnetic media reports for the state of Maine resulted in incorrect reporting totals under some circumstances. This issue has been resolved. The magnetic media format has also been changed so that CR/LF delimiters are added to the end of every line.
NYS 45-ATT Form Prints Incorrectly
The New York state quarterly form NYS 45-ATT was printing duplicate fields when the Use Printed Forms check box was selected. This issue has been resolved.
Street Address Error Message
Generating W-2 magnetic media files resulted in a "Missing address" error message if the Address 1 line was not filled in on the W-2 form and the Address 1 line was being used for the employee apartment or unit number information. The error message now appears only if neither Address 1 nor Address 2 is filled in.
Government Mandated Changes
Negative Amounts in Quarterly Magnetic Media Files
Negative amounts no longer appear in the quarterly magnetic media files in compliance with quarterly magnetic media submission requirements. If an employee has negative earnings, they are noted on the system log instead. An error message is also printed on the magnetic media journal.
RA Record PIN Number
When the W-2 magnetic media is generated, the PIN number label on the RA record has been changed to User ID. This change is also reflected in the Print W-2—Magnetic Media Options window.
New Features
Printing W-2s for Employees in States With No State Withholding
The ability to print W-2s
for employees who worked in a state with no state withholding has been added to this release. Note: For you to print W-2s for employees who worked in states with no state withholding, you must designate the state with no state withholding as the primary state (State 1) on the W-2 form. If the state with no state withholding is designated as the secondary state (State 2), employees with earnings only in that state will not print.
State Quarterly Magnetic Media File Extensions
When saving quarterly magnetic media files, the file extensions have been set to default to the required file extension for each individual state.
Switching Employee Address 1 and Address 2
You now have the ability to switch the employee Address 1 line with the Address 2 line in the W-2 magnetic media options through the use of a "Switch address lines" check box in the Print W-2 Forms—Magnetic Media Options window. This ability is provided to enable you to comply with state magnetic media requirements.
W-2 Count Report Has Been Updated The W-2 Count report has been updated so that W-2s are included for employees who worked in states with no state withholding.
Warning When Issuing Checks for the Prior Year
A warning message now appears when you attempt to enter a check with a period end date for a year that has already been closed. The warning message provides you with information required to enter checks for a prior year.

The format of the quarterly report for the state of Maine has been updated.
Canadian Payroll
Fixes
File Extension Type for T4 Magnetic Media
Browsing for and selecting a file caused T4 magnetic media files to be saved with a .txt extension instead of the required .xml extension. This issue has been resolved and T4 magnetic media files are now saved as XML files by default.
ROE Form is Saved With the Wrong File Extension
ROE forms were being saved with a .roe file extension when you browsed for a file location. This correct file extension is .blk. This issue has been resolved so that the default file extension is now .blk for all circumstances.
ROE Form Reports Incorrect Pay Periods
The ROE form sometimes dropped periods with nil wages in box 15c if an employee had more than three consecutive pay periods with no earnings. This issue has been resolved.
Update 8
Massachusetts Quarterly Report
Magnetic media reports filed with the state of Massachusetts have been corrected so that only Massachusetts wages are reported for all employees who reside out of state.

Australian Payroll
Government Mandated Changes
Australian Payment Summary Changes
The Employee Setup > ETP Payment Summary tab has been updated to allow the values required by the revised ETP payment summary to be entered. Ensure you review the fields on the ETP Payment Summary tab for all employees receiving ETP payment summaries prior to generating the magnetic media.
The ETP Payment Summary printed form and payment summary magnetic media format have been revised. Previously, the ETP and INB payment summary forms printed only in the continuous-form version of the previous format when printed from the Tasks menu. This option has been removed, and the forms now print automatically when the magnetic media is generated.
Update 6
NY Prevailing Wage Rate Check Stub Feature
The NY Prevailing Wage Rate check stub feature is now disabled by default. You can enable the feature through a registry entry instead.
- Edit the Registry and change the Enabled value of the HKEY_CURRENT_USERS\Software\Timberline\Payroll\
CheckStubPrintPrevailingWage entry from 0 to 1.
- The registry entry is created the first time you print checks or generate direct deposits after installing 9.4.1 Update 6. If you want to enable the feature prior to printing checks, create the registry key and edit the string manually.
- Edit the Registry of each workstation or server where you plan to print checks in Payroll. For example, assume you have four workstations, a terminal server, and a data server for Sage Timberline Office, and you print Payroll checks from one workstation and remotely, but not at the data server or the remaining workstations. You must edit the registry of the workstation and the terminal server, but not the data server or the workstations that do not print checks.
CAUTION: Incorrectly editing the Microsoft Windows registry may severely damage your system. Sage is not responsible for damage to your system caused by editing the registry. Before making changes to the registry, contact your system administrator for assistance and make a backup copy of all valued data. System administrators, see Microsoft Registry Editor Help topics for detailed instructions.

Payroll Government-Mandated Changes
Connecticut W-2 Magnetic Media
Magnetic media reports filed with the state of Connecticut have been corrected so that the required CR/LF characters are now being generated.
District of Columbia Quarterly Reports
Printing quarterly forms for the District of Columbia without selecting the Generate Magnetic Media check box resulted in an error. This has been corrected.
Maine Quarterly Magnetic Media
Two new T-record fields, Total T-record location 101-111 and T-record location 149-152, have been added to the Competitive Skills Scholarship Fund (CSSF) assessment. In addition, T-record location 145-148 (UC Contribution Rate) is now a required field.
Maine Quarterly Report Totals
Quarterly reports generated for the state of Maine have been corrected so that all totals are reported. Previously, after adding the Maine Competitive Skills Scholarship Fund tax ID (MESCSSF_E) to the tax group, the quarterly totals (Total Gross Reportable Wages Paid this Quarter,Deduct Excess Wages, Taxable Wages This Quarter, and Contribution Due) were blank if quarterly reports were generated for the previous quarter. These totals were also blank if the quarterly report was generated for the quarter-to-date (QTD) and no tax was withheld for the MESCSSF_E tax ID.
New York Prevailing Wage Is Now Required
The prevailing wage rate and classification is now printed on the check stub message line for any employee working on a certified job where the Work State on the time record is "NY." This is to satisfy the New York Department of Labor (NYDOL) law that requires employers working on public works projects to include an employee's prevailing wage rate and classification on the check stub.
Note: The employee's prevailing wage rate is computed as the sum of the Rate and Fringe Rate fields from the Pay Rate tables for the employee's certified class and job. This calculation is based on the Time records for the pay period.
Pennsylvania W-2 Magnetic Media
Magnetic media W-2 reports filed with the state of Pennsylvania have been corrected so that the eight-digit, state employer withholding account number is reported in positions 505-512 of the RE record. Reporting totals are also now being calculated for positions 476-512 on the RT and RF records.
Virginia Quarterly Magnetic Media File Extension
The extension of quarterly magnetic media files produced for the state of Virginia has been changed from .txt to .dat.

Form 941 has been updated
Changes have been made to reflect the 2008 Form 941 update. Note: This change was also released with Software Notice 08-K on March 12, 2008.

Service Host Not Available Error
Under some circumstances, the Service Host service would not start after rebooting the Accounting Server. This issue has been resolved.

Florida Quarterly Magnetic Media
Previous releases allowed negative wage amounts to be reported for employees, causing magnetic media files in the newly-required XML format to be rejected. Sage Timberline Office Payroll now excludes employees with negative wages from the report and creates an entry in the log file indicating such employees were excluded.
Maine Quarterly Magnetic Media
The reporting total in T record position 175-185 was not being calculated correctly in the quarterly magnetic media submitted to the state of Maine. The reporting total is now correct.
Government-Mandated Changes
Arkansas W-2 Magnetic Media Format
The Arkansas W-2 magnetic media format has been updated. A CR/LF is also added every 512 characters.
Colorado W-2 Magnetic Media Format Has Been Updated
The magnetic media format for files submitted to the state of Colorado has been updated so that a CR/LF is also added every 512 characters.
District of Columbia (DC) Quarterly Magnetic Media Format
The quarterly magnetic media format for the District of Columbia has been changed from Special State (80) to ICESA (275).
Georgia W-2 Magnetic Media
The W-2 magnetic media files generated for Georgia now use the employee address in each RS record for the delivery address if no other delivery address is specified.
Kansas Quarterly Magnetic Media
The quarterly magnetic media format has been revised for the state of Kansas.
Maryland W-2 Magnetic Media
The Maryland W-2 magnetic media format has been updated.
MMREF-1 Magnetic Media Format Name Has Changed
The MMREF-1 magnetic media format name has been changed to EFW2 to be consistent with terminology used by the Social Security Administration.
MMREF-1/EFW2 Magnetic Media Format Has Been Updated
The MMREF-1/EFW2 magnetic media format has been updated for the 2007 tax year.
New York Quarterly Printed Form Format
The format of the printed New York quarterly report has been updated.
Pennsylvania Magnetic Media Account Number Format Has Been Revised
To comply with Pennsylvania state requirements, the quarterly report now generates without an R or M suffix at the end of the account number.
Pennsylvania W-2 Magnetic Media Format
Pennsylvania W-2 magnetic media has been updated so that CR/LF characters are added when generating W-2 magnetic media files.
Rhode Island Quarterly Magnetic Media Format Has Been Updated
The quarterly magnetic media format for Rhode Island has been changed from ICESA to Special State (275).
Tennessee Quarterly Magnetic Media Format
The quarterly magnetic media format for Tennessee has been updated to Special State (58).

Accounts Payable
Only One Warning Message Each AP Session
If you are operating Accounts Payable (AP), you now receive only one warning message per AP session if the Sage Timberline Office Service Host is unavailable or disabled. In previous versions, you may have received several instances of a message that the Service Host was unavailable.
AP Now Accepts Special Characters in Data Folder Name
In the previous release, if a special character was used in the data folder name, AP would return a "Service Host Problem" error message. This issue has been resolved.
Desktop
Sage Service Host is Unavailable While Printing Checks
In a previous release, the Sage Service Host issue was unavailable and unresponsive if checks were printed from Desktop. This issue has been corrected with this release.
Document Management
DM Now Accepts AP Vendor IDs with Special Characters
In a previous release, if a special character was used in an AP Vendor ID, Document Management (DM) would return a "This invoice has been posted" error when trying to link to the invoice. DM is now able to link to invoices with special characters in the AP Vendor ID.
Base Account Mismatch Issue Has Been Resolved
In a previous release, if you had General Ledger (GL) accounts with a number of digits in the same data folder that differed from the number of digits specified in Custom Descriptions, attempting to link to an AP invoice in that folder resulted in an error. This issue has been resolved. The full account number now appears in the base field.

Colorado Magnetic Media Format Has Been Updated
The magnetic media format for files submitted to the state of Colorado has been updated to ICESA (276).
Canada Record of Employment (ROE) Form Issue Has Been Corrected
The bulk transfer 53-week file format was not being created correctly on the Record of Employment (ROE) form in the prior release. This resulted in incorrect reporting of pay periods 1-53 (positions 284-759) for some employees. This issue has been corrected.
Service Management
9.4.1 Update 1 Release Caused Errors in Service Management
After upgrading to Sage Timberline Office 9.4.1 Update 1, posting or editing time entries in Service Management resulted in an error message. This issue has been fixed in 9.4.1 Update 2.

Quarterly Reporting
Florida
The quarterly report magnetic media file format has been changed from MMREF-1 to XML in order to meet electronic submission requirements for the state of Florida.
Massachusetts
The magnetic media file has been updated so that the Total Gross Wages is reported for all employees who lived or worked in the state of Massachusetts. Position 50-63 of the S record has also been updated so that the quarterly total gross wages from all states is reported for a given employee.
W-2 Magnetic Media Reporting
Maryland
All Form W-2 magnetic media files submitted to the state of Maryland must now include employee personal exemptions reported in positions 368-369 of the RS record. Note: This change was originally released with Software Alert 07-E on March 16, 2007.
