What's New for Year-End 2012?

IMPORTANT: In order for the new Medicare tax to calculate correctly in 2013, before processing any payroll checks in 2013, you must:

  1. Install this 2012 Year-End Software Update.
  2. Finish processing payroll for 2012.
  3. Download 2013 Payroll Tax Update (available in late December).
  4. Begin processing payroll for 2013.

Tax Forms

In-product tax forms and magnetic media generation are no longer supported.

Sage 300 Construction and Real Estate (formerly Sage Timberline Office) is now completely integrated with Aatrix services to produce your government tax forms using data from Payroll, Accounts Payable, or Property Management. Aatrix lets you edit your forms on-screen, save forms in progress, and come back to work on them at any time.

From Aatrix, you have the choice of printing the forms or eFiling (electronically filing) the forms. There is no charge to print any of the 250+ available state and federal forms. There is no charge to eFile Federal W-2 and 1099 forms. There is a charge for eFiling state forms, but eFiling saves you the cost of printing, handling, and mailing the forms.

Note: 2012 forms will be available on December 20 in Aatrix. Follow the on-screen instructions to automatically update the forms. Review the Government Forms Guide for details about reporting with Aatrix.

Download and Install the Update

Installation Notes:

  • Estimating Compatibility - 9.8 Estimating Update 6 is compatible with 9.8 Accounting Update 6. Review the fixes in previous Estimating updates. If you need these fixes and you have already installed 9.8 Accounting Update 6, then you must install Estimating Update 6.
  • Upgrading Data - You will need to upgrade your data after you install the update. Refer to the upgrade notes in the installation instructions for more information.
  • Services - During the installation of this update, the system will automatically stop and start the World Wide Web Publishing service.
  • Sage Installation Manager - If you use Sage Installation Manager to install Sage 300 Construction and Real Estate updates, you should verify whether you need to install Sage Installation Manager Update 1 before installing 9.8.0 Update 6.

Download the 2012 Year-End Update (9.8 Update 6.3)

If you install new or additional Sage 300 Construction and Real Estate applications after installing an update, you must reapply the update.

  1. Click the following link to download a self-extracting file that contains the update.

  2. When the File Download window appears, click [Save].
  3. In the Save As window, select a temporary location to save the file, and then click [Save].

    Note: This location must be available to all workstations where Sage 300 Construction and Real Estate is installed. For example, create a folder named Update (if it does not exist) under X:\Timberline Office\Accounting\WinInst or X:\Timberline Office\Estimating. Save the file to that folder.
  4. In the Download Complete window, click [Close].

Update the Server

  1. At the server or stand-alone computer, log on with full administrative rights.
    Note: Full administrative rights are defined as write access to the Windows registry and all the folders on the computer, including rights to the root of all hard disks. If you are unsure whether you have full administrative rights, ask your network administrator for assistance. Alternately, you can ask your network administrator to log on with the network administrator ID before you start the installation.
  2. Close all Sage and all Microsoft Office applications at the server and on all workstations.
  3. Browse to the location where you saved the file in step 3 of the "Download the Software Update/" section.
  4. Double-click 980AccUpdate6.exe only once.
  5. If a security warning appears, click [Run] or [Allow].
  6. The Ready to install window appears. Click [OK].
    Note: The update may take several minutes. Double-click 980AccUpdate6.exe only once. You will receive a message when the installation is complete.
  7. The message This update has been installed successfully appears. Click [OK].

Upgrade Data

For optimal performance, Sage recommends that you upgrade your data from the server. Perform the Upgrade Files process only after the update has already been applied at the server. If you prefer to upgrade your data from a workstation instead, you must apply the update at both the server and the workstation before starting the Upgrade Files process.

  1. In TS-Main, select Tools > Upgrade Files.
  2. At the Do you have a current backup of your data folders window, click [Yes].
  3. Select to upgrade the current data folder or all data folders.
    • Select Current data folder to upgrade files in the data folder in which you currently work.
    • Select All data folders to upgrade files in all data folders that display in the Open Data Folder window. This may include data folders on other drives. With this option, the upgrade process can take a long time if you have many data folders.
  4. From the Files list, select all files. Do not select the Force file upgrade check box. This ensures only files requiring an upgrade are upgraded.
  5. Click [Start]. The Print File Selection window opens. In the File name box, type a name for the upgrade report file and click [Save]. The upgrade process begins in the background.
  6. Review the report when the process is complete.

Update Each Workstation

Update each workstation where you installed Sage Timberline Office.

  1. Log on to the workstation with full administrative rights.
  2. Close all Sage Timberline Office and all Microsoft Office applications on the workstation.
  3. Browse to the location where you saved the file in step 3 of the "Download the Software Update" section.
  4. Double-click 980AccUpdate6.exe only once.
  5. If a security warning appears, click [Run] or [Allow].
  6. The Ready to install window appears. Click [OK].
    Note: The update may take several minutes. Double-click 980AccUpdate6.exe only once. You will receive a message when the installation is complete.
  7. The message This update has been installed successfully appears. Click [OK].
  8. Repeat steps 1 through 7 at each workstation where you installed this Sage Timberline Office application.

Important: If you run the workstation install on additional workstations later, you must also install the update by following the instructions in this section.

Enhancement

Link Local Taxes - A new window (PR: Tasks > Federal eFile and Reporting > [Link Aatrix Tax Codes]) lets you easily group multiple tax IDs and link them to an Aatrix tax code.

For example, use this window if you need to combine a Resident and a Non-Resident tax on the W-2. When W-2s are run, the tax IDs you set up in the Link Aatrix Tax Codes window will appear on the W-2 as one tax.

You can now use Aatrix to print or eFile 1099s by prefix when the Fiscal Entity Level is set to prefix C.

Payroll
North Carolina
- The totals for all quarters now appear on the NC-3 submitted with the W-2
- NC-5Q now correctly reports voided check dates.

Oregon - The totals for all quarters now appear on the WR submitted with the W-2.

Taxable Payments Reporting

In order for payments to be reported correctly on the taxable payments reports, you must follow the steps below before using Tasks > Record Payments by Credit Card, Tasks > Print Checks or Tasks > Record Manual/Print Quick Checks for making payments for the 2012-2013 reporting year.

  1. Install this year-end update (9.8.0 Accounting Update 5).

  2. Close the taxable payments year (Accounts Payable: Tasks > Close Taxable Payments year).
  • To exclude Invoice distributions that are considered exempt from taxable payments reporting, select the [Exempt] button in AP: Tasks > Enter Invoices and Tasks > Change Invoices.

  • To include a vendor on taxable payments reports, select the Generate taxable payment report checkbox in AP: Setup > Vendor > Tax Settings.

The Taxable Payments reports will be included in the 2013-2014 year-end release, scheduled to be available in June 2013.

Payroll (United States)

The Arkansas quarterly magnetic media has been updated.

Project Management Correspondence Log

  • The Correspondence Log now displays the correct date and sender for emails.
  • When you add an email to the Correspondence Log prior to sending it, the email no longer remains in the Outlook Drafts folder.

Sending

  • We have added the ability to automatically send a copy of an email to the default sender. Open Tools > Options > Mail Settings, and select CC to default sender email checkbox. You can set up the default sender in File > Send Settings.
  • The Timberline Sending window now uses the From address you set up in File > Send Settings > From (default sender).

Server Migration

Several fixes are included in 9.8 Update 5 for Server Migration. If you plan to migrate servers, you should install 9.8 Update 5 on the target server before you begin the server migration process. See the 9.8.0 User Guide Chapter 6 for details on using this tool.

A “File not found” message no longer appears when you send inventory costs to Job Cost.

Purchasing

The equipment cost code list in purchase orders now includes cost codes for only the equipment Id being used.

Government-Mandated

Payroll (United States)

  • The Louisiana Quarterly Magnetic Media format has been updated to support a seven-digit State UI Employer Account Number (Payroll: Tasks > Quarterly Reporting > Generate Quarterly Magnetic Media).
  • The New Mexico Quarterly Magnetic Media format has been updated (Payroll: Tasks > Quarterly Reporting > Generate Quarterly Magnetic Media). The state of New Mexico has deferred the 2012 magnetic media format change until Q3. Payroll Update 9 returns the software to the previous specification.

You must install Update 3 before moving payments to ensure that all records move correctly.

Accounts Receivable

When billing retainage for multiple invoices for a single customer, the Future GL Period warning now displays once per GL prefix.

General Ledger

You are now able to reclose the fiscal year after making prior year adjustments.

Inventory

The Cost Account is now retrieved correctly based on the Job Cost account retrieval hierarchy.

Payroll

Checks dated outside of the selected date range are now excluded when the tax amounts are calculated for eFiling.

9.8.0 Update 2 (2011 Year-End Update)

Accounts Payable (United States)

The 1099 Magnetic Media format has been updated for 2011 filings.

Payroll (Canada)

The T4 XML file format has been modified for 2011 tax year filings.

Payroll (United States)

  • We now allow 5 items in Box 12 in Tools > Modify Forms > W-2 Forms.
  • Support for Codes DD and EE were added for Box 12 on the W-2. The magnetic media format has been updated.
  • Quarterly Magnetic Media formats have been updated for New Mexico, New York, and Utah.
  • Federal W-2 Magnetic Media format has been updated.
  • W-2 Magnetic Media formats have been updated for Idaho, Maine, Maryland, Massachusetts, and Wisconsin.

Fixes

  • eFile and Reporting W-2s - The DOL-WH347 report found under Tasks > Federal Reporting > Federal eFile and Reporting now pull the employee classification from the daily distribution record.

  • eFile and Reporting W-2s - If a local tax ID included a comma, the formula used to combine multiple locals on W-2s in Aatrix would not work. This has been fixed. You must enclose tax IDs with commas inside a square bracket [xx,xx]. For more information about local tax formulas on eFile and Reporting W-2s, please refer to KB4320.

In some cases, Field Reports would not open. This has been fixed.

9.8.0 Update 1

Accounts Payable (Canada)

Payments by Credit Card are now included in the T5018 Statement of Contract Payments Construction Subcontractor Payments amount. To generate a T5018 form, open AP: Tasks > Government eFile and Reporting > Form T5018 (CAN).

Payroll (United States)

Local tax setup (PR: Setup > Taxes > Tax Rates) and calculations have been enhanced to support the Pennsylvania Act 32 requirements, effective January 1, 2012. Click here for detailed information on the setup and calculation of Pennsylvania local taxes. Information is also available in the Tax Rate Setup window by right-clicking the field and select What’s this, or searching for How to set up local taxes for the state of Pennsylvania in the Sage Knowledgebase.

Property Management

Payments imported for historical and archived leases will now be rejected during import and transactions will not be created.

Service Management

In some cases, after archiving work orders (SM: Tools > Archive Wizard) subsequent archive work orders sessions would fail. This issue has been fixed.

 

Payroll Updates

Update 5

Payroll (Canada)

You can now use formulas in the T4 Format to retrieve the Box 50 value for the eFile and Reporting T4 form (Payroll: Tasks > eFile and Reporting). You may use either the employee or the employee province record as the driving record for the formula.

Payroll (United States)

Maryland - Use Formulas for Box 17

You can now use formulas to combine state and local taxes in Box 17 when eFiling W-2s using Payroll: Tasks > Federal Reporting > eFile and Reporting. These formulas are specified in Payroll: Tools > Modify Forms > W-2 Formats. Formulas you used in prior years when printing W-2s using Payroll: Tasks > Federal Reporting > Generate W-2 Magnetic Media will continue to work.

Payroll (Canada)

Enhancements

  • Include Box 50 when eFiling (Payroll: Tasks > eFile and Reporting).
    Note: You can enter a value as text in the T4 formats (PR: Tools > Modify Forms > T4 Formats) and that value will be used in Box 50 for each slip. If a particular slip requires a different value in Box 50, you can enter the value directly in the T4 slip. In a future update, we will allow formulas to be used in the T4 Format to retrieve the value for each slip.
  • Lookup formulas used for Boxes 20, 44, 46, 52, 55, 56 and the Other Information Boxes (Payroll: Tools > Modify forms > T4 Formats) can now use the employee or the employee province record as the driving record when eFiling (Payroll: Tasks > eFile and Reporting).

Fixes

  • Box 28 checkboxes (CPP/QPP Exempt, EI Exempt, and PPIP Exempt) are correctly selected when eFiling (Payroll: Tasks > eFile and Reporting).
  • Automatically prints a zero in Box 24 if there are no insurable earnings and in Box 26 if there are no pensionable earnings (Payroll: Tasks > Generate T4 Forms or eFile and Reporting).

Colorado Quarterly Magnetic Media
Colorado now requires an email address for quarterly magnetic media filings. We have added an email field in PR: Tasks > Quarterly Reporting > Generate Quarterly Magnetic Media. In the Generate Quarterly Magnetic Media - Print Selection window, enter "CO" in State, select Generate Magnetic Media, then click [Mg Med Optns]. Enter your email address in the Email field of the Magnetic Media Report Options window.

W-2s
If you use a formula to combine multiple local taxes on your W-2s and you print or eFile your W-2s using Payroll > Tasks > Federal Reporting > Federal eFile and Reporting, the program no longer quits unexpectedly.

Oregon Magnetic Media
The State Employer ID now appears correctly in the W-2 magnetic media file for the state of Oregon in Tasks > Federal Reporting > Generate W-2 Magnetic Media.

Note: If the other issues do not apply to you and you wish to work around the Oregon State ID issue without installing the Payroll Update, you can enter the State Employer ID in the Magnetic Media Options window with 12 leading zeros. For example, enter 9999999-9 as 00000000000099999999.
