Enhancements

Advanced Criteria for Routing List Selection
While setting up a routing list, you can now select advanced criteria to help you filter your lists during routing (Settings > Document Routing > advanced criteria).

For example, you can set up various routing lists for a particular job using advanced filtering. When you set up routing lists such as agreements or AP invoices, assign the job in the Advanced Filter Criteria window.
Then, when you route a document to your team for approval, select the job in Query, Scan or Inbox > Routing tab. The routing lists you set up for this job appear in the Routing List drop down.

Send Attachments to Document Management
You can now send attachments to DocuVault from several Project Management tasks, including:

  • Change Order Requests
  • RFIs
  • Submittals
  • Meeting Minutes
  • Commitments
    • Purchase Orders
    • Subcontracts
  • Commitment Change Orders
    • Purchase Order Change Orders
    • Subcontract Change Orders
  • Custom Logs
  • Drawing Log

From the Project Management task, click [Attachments] > File Links tab.
Sending files to DocuVault allows you to store, route, and work with the Project Management files in Document Management. When you send a file to DocuVault, it is indexed automatically so you can search for it in DocuVault at a later time. After you have sent a file to DocuVault, you can select whether to open it from DocuVault, or from the original location. In addition, you can now open a Document Management query from the Project Management Attachment window.

You can send attachments to DocuVault when:

  • Compatible versions of Accounting and Document Management are installed; for example, Accounting 9.7.0 Update 4.1 and Document Management 9.7.1.
  • The Accounting task is integrated with DocuVault.
  • The file type is one of the following:
    • ASCII : *.txt
    • Microsoft Excel : *.xls, *.xlsx
    • Microsoft PowerPoint : *.ppt, *.pptx
    • Microsoft Word : *.doc, *.docx
    • PDF : *.pdf
    • RTF : *.rtf
    • Image types : *.jpeg, *.png, *.bmp, *.tif, *.tiff, *.jpg, *.gif

Fixes

The following issues have been addressed in 9.7.1.:

  • Document Management closed when you sent a document to the Inbox and then saved classifications.
  • Document Type Security quit working when a document was re-classified with a new document type.
  • When viewing an AP invoice after upgrading to 9.7.0, the vendor name on the classification was duplicated.
  • When upgrading to 9.7.0, security setup caused IIS to time out in some cases.
  • When upgrading from 9.6.0 to 9.7.0, you may have been prompted to run Security Setup, even if it had already been run in 9.6.0
  • After scanning native files, classifications could be overwritten by a person who did not have overwrite privileges when:
    • they attempted to edit, causing document to become locked.
    • they attempted to route the document with rules-based routing.
    • they attempted to send to inbox. (See Known Issues.)

Known Issues

Native File Conversion on Windows Server 2008 R2
The first time you attempt to convert a native file on Windows Server 2008 R2, the conversion process may stop. No message is given. To continue, close the conversion window and Document Management, then restart your computer. Native files will now convert normally.

Unable to Send to Inbox or Route from Scan
You may be unable to use Send to Inbox or Route documents from Scan if you have the TCP/IP print server service enabled on your DocuVault server. Sending will occur normally if you disable the TCP/IP service.
To disable the TCP/IP print server service:

  1. From the Start menu, select Programs > Administrative Tools > Services.

  2. Double-click on TCP/IP Print Server.

  3. On the General tab, select Disabled from the Startup type dropdown.

Classification Not Saved
In some cases, when a person without overwrite privileges makes changes to a document's classification, then sends the document to the Inbox , the document is sent but without the new classification. The sender is not notified that his changes were not saved.

Notes:

  • If you are not the person who downloads and updates Sage Timberline Office updates, please forward this notice to the correct person in your company.
  • If you install new or additional Sage Timberline Office applications after installing an update, you must reapply the update. You may receive a message to reapply the update. Click [Update] to install the update.

Before you Begin

If you are upgrading from Document Management 9.4 or above, you can install Document Management 9.7.1 directly.

  1. Back up all Document Management data. For more information, review the Technical System Reference for Document Management.

  2. Review the Document Management Get Started guide for detailed information on system requirements and installation instructions.

  3. Locate your new activation key number. This was included in the order confirmation your received for the Document Management 9.7.1 upgrade.

  4. Install MS Office 2003 or later on the DocuVault Server. If you wish to import, route, and work with documents such as Word and Excel in the original file format, you must install MS Office on the DocuVault server before installing DocuVault 9.6.1 and later. A time-consuming workaround exists should you skip this step and subsequently wish to use native file functionality. See Work with Native Files in the Document Management Get Started guide for more information.

  5. In Windows Server 2008, configure the firewall to allow Cypress port communication. This will allow the printer driver to function for native file documents. To open this port:
    a Use an administrator account to log on.
    b Click Start > Run. Enter “wscui.cpl” and then click [OK].
    c In Windows Security Center, click Windows Firewall.
    d Click Change firewall settings. On the Exceptions tab, click Add Port.
    e Enter “Cypress Port” for the Port Name and enter “11488” in the Port Number. Select TCP/IP.
    f Verify that Cypress Port is listed and selected in the Exception tab.
    g Click [OK].

  6. Activate Internet Information Service (IIS)—DocuVault 9.7.1 and later requires IIS to be installed and active on the DocuVault server. IIS may be installed with a computer’s operating system. Even though it is installed, it may be inactive.
    Verify that IIS is installed and active on the DocuVault server:
    a. Open Control Panel > Administrative Tools > Internet Information Services.
    b. Verify that [Local computer] > Web Sites > Default Web Site is present and started.
    If IIS is not already installed on the DocuVault server, you can install it from your original operating system CD. If the CD is unavailable, you can download IIS from www.microsoft.com. Download the version of IIS that is compatible with your operating system:

  7. Quit all programs and services for the duration of the installation. This includes programs that may be running in the background such as antivirus, e-mail, and backup programs.

If you are upgrading Document Management:

  • You must first install Sage Timberline Office before you install Document Management. Performing the Sage Timberline Office data upgrade before installing Document Management is optional.
  • Do not remove the USB security key at any time before or during the installation of Document Management.
  • Document Management tasks (Inbox, Scan, and Queries) may not appear if you log on to Windows and Sage Timberline Office with different login information. Make sure that you log on to Windows using the same user name and password that is associated with your Sage Timberline Office user name.
  • On Vista or 2008 workstations, if you choose the Enable CD/DVD Burning feature and select External Optical Archive, a DOS prompt may appear minimized during the install. The install may appear to stall, but the DOS prompt is waiting for input. Open the minimized DOS window and type a ‘Y’, then press Enter to continue the installation.

Download and Install the Update

Download the update

  1. Click the following link to download the self-extracting file that contains Document Management 9.7.1.

  2. When the File Download window appears, click [Save].

  3. In the Save As window, select a temporary location on the server to save the file, and then click [Save].

  4. In the Download Complete window, click [Close].

Extract Document Management 9.7.1 files

  1. At the server log on with full administrative rights.

    Note: Full administrative rights are defined as write access to the Windows registry and all the folders on the computer, including rights to the root of all hard disks. If you are unsure whether you have full administrative rights, ask your network administrator for assistance. Alternately, you can ask your network administrator to log on with the network administrator ID before you start the installation.

  2. Close all Sage Timberline Office applications at the server and on all workstations.

  3. Browse to the location where you saved the file in step 3 above.

  4. Double-click the file 971DMInstall.exe only once.

  5. If a security warning appears, click [Run] or [Allow].

  6. In the WinZip Self-Extractor window, click [Browse] and navigate to the location you want to install Document Management from.

  7. Click [Unzip].

    Note: The update may take several minutes. Double-click the file DMDV_Install.exe only once. You will receive a message when the files have unzipped.

  8. Click [OK] when you receive a message that the files have unzipped successfully.

Install Document Management 9.7.1

  1. Use Windows Explorer to browse to the location where you unzipped the files in Step 6 above.

  2. Open the DocManagement folder.

  3. Double-click Install.exe.

  4. Click 1. View Installation Guide to open the Document Management 9.7.1 Get Started guide. Follow the detailed instructions in the manual to install DocuVault and Document Management. Refer to Section 3 Install to a Server to begin the DocuVault installation to your DocuVault server. Once you have completed installing DocuVault to your server, follow the instructions in Section 4 Install to a Workstation.

    Note: For information on sending Project Management files to DocuVault, see Section 5 Use Document Management.
