Preparing Your Sage Abra Suite Payroll for Section 125 Code DD on the 2012 W–2s

The Health Care Cost reporting requirement for W2 code DD begins in 2012 for employers that will issue 250 or more W-2s for 2012. Employers are required to report their employees and employers Health Care Cost on their employees W-2s starting in 2012. Sage has been proactive since the 4th quarter of 2011 in ensuring your Sage HRMS Payroll system (formerly Sage Abra Suite) has the necessary updates to report health care cost deductions at Year End on the W-2s. The following steps are necessary to report this data after the final quarter closed.

New Deduction Types for Employer-Sponsored Group Health Plans

Starting in tax year 2011, the Affordable Care Act requires employers to report the cost of coverage under an employer-sponsored group health plan. This reporting to employees is for their information only, and does not cause excludable employer-provided health care coverage to become taxable. To give employers more time to update their payroll systems, IRS Notice 2010-69, issued in the fall of 2010, made this requirement optional for all employers in 2011.

This Q4 2011 Product Update includes three new Deduction Types to provide you with the ability to define the data items needed for accurate tracking and reporting of employer-provided healthcare during the 2012 payroll year:

The following Deduction Type codes have been implemented in the Deduction Rules

From the Navigation Pane select Setup, Payroll, Deductions. Select the Enterprise (***) or the Employer from the Employer drop down

  • Section 125 Code DD reports the employee withholdings and employer contribution
  • Medical Post-Tax Code DD reports the employee withholdings and employer contribution
  • Medical Flex Spending Account Code DD reports the employer contribution (employee withholding is not reported)
Review your existing benefit deductions and change the Deduction Types on the existing Deduction Codes (or inactivate the existing ones and create new ones) in order for the system to capture the amounts to be reported on Form W-2, Box 12, Code DD.
