Backup/Restore Policy

Sage strongly encourages all customers to implement a Backup Strategy to protect their data, and for Disaster Recovery. Sage recommends performing a nightly backup of all files in the Data folder. Incremental backups are not recommended.

When the payroll process is run, Sage Abra Suite will automatically prompt for internal backups; however, these backups are only first generation and will be overwritten on any subsequent backups. These internal backups would only be used to help recover data files in between processes and are company specific.

It is advisable to restore data, if any errors occur during processes, as not all of the files may be updated properly. This is very important during a payroll process, such as running Final Payroll, printing Checks or Printing Direct Deposits. If these files do not update correctly, the employee's W-2s could be affected, as well as any history reports.

In most cases, the restore point will only be the backup that was created just prior to the process that contained the error. However, if this restore point is invalid - another backup was made by another user for the same company, it may be necessary for the restore to come from an external backup. For example, if payroll is being processed and a backup is made prior to check printing, but the checks are being printed with an incorrect date, it will be necessary to restore to an external backup to take the system back to trial payroll.

Since the internal backup is a first generation backup, it is always best to backup only after time is entered, and also, after the trial payroll is performed. If there is no external backup in place, the other option would be to use the Windows Copy function and make a copy of the Data folder,

It is advisable to have another means of backing up data, as a failsafe. These backups could be either through a tape drive, or an external hard drive, and will only need to be copying the data folder, as all of the information that is company specific will be held within this location.
